Resources & Planning Advice
Once you have chosen Herrington on the Bay as your wedding venue, we send you a package of information with helpful items like the GPS address to use for your invitations, local hotels, inns & rental homes lists, the correct location to get your marriage license, and our preferred professionals list.
Our preferred professionals list is an invaluable tool in your wedding planning process! You can rest assured that all vendors on this list are experienced at Herrington on the Bay and highly reviewed. Save yourself hours of research online, “contact us” submissions, phone calls, interviews, price sheets, and rely on our years or experience and strong professional relationships.
Of course we welcome any vendors you may choose. We also communicate directly with your vendors leading up to the big day to take you out of conversations like, how many amps of power does the DJ need and where does he plug in? Or, what time can my cake be delivered? Let us have those conversations for you!

Planning Your Event
Your Event Specialist will set up the planning meeting where we review all the details on your initial proposal. This is the time to fine tune or customize your menu.
Planning the Menu
Our Chefs are available to bounce ideas off of and help you bring your culinary vision to life. We will help you outline a menu and discuss beverage options.
Planning the Schedule
Your Specialist will walk you through the timing of the day. First dance before dinner or after? How long will my pictures take? When does the Maid of Honor do a speech? You will talk through all of this and more to design the flow of your day. We will provide as little or as much guidance as you need and give examples of how we have seen things done in the past. We walk you through the floor plans of your ceremony and reception.
Back Up Plans
We try to take the stress out of the dreaded back-up plan. Weather is unpredictable and no one wants to think about the worst, but you can rest assured there is a plan in place!
While planning the wedding, I was still in nursing school, so having them to guide me through this was amazing and extremely helpful. Everyone who attended the wedding said it was amazing and the best wedding they’ve ever been too! Our team is available to you 7 days a week as questions pop up. Call or email anytime! How many guests can I fit at each table? Can you send me a picture of my linen swatch? What time was my first dance again? All of these questions and more will come up through the planning process and we are happy to provide the answers as they do.
Final Details Meeting
At this meeting you will review the menu, beverage options, timeline, floor plans, linen colors, and everything else discussed at your Planning Meeting.
It may all be exactly the same, you may have a few tweaks, or it could be a total overhaul! It’s completely up to you. We will follow your lead.
Now that your wedding is closer, you will have more items finalized such as your vendors, decorations, and a better idea of your guest count. We will ask for your vendor list and get an idea about your decorations and estimated guest count. You can bring us your place cards/seating chart, table numbers, favors, and a few other items and our staff will put them in place for you on the day of your event.

Between your final details meeting, about 8 weeks before the wedding, and your final guest counts being due, approximately 3 weeks before the wedding, your Specialist is available to you for questions that come up.
Keep in mind they have sporadic office hours, so if you need an immediate response, call the Catering Office at 410-741-5101 to speak to any of our Wedding Experts.
Your Event Coordinator
Your Event Coordinator will be assigned to your wedding approximately one month before your big day. Once that happens, your Event Specialist meets with the Event Coordinator and reviews your event in great detail.
Two weeks before your wedding, the Event Coordinator starts reviewing the details of your event with our entire Management Team. Your Event Specialist, the Chefs, the Facility Maintenance Team, and the Director of Events review every detail of your event to ensure all of Herrington on the Bay is aware of your wedding vision and equipped to make it happen.
The Week of the Wedding
The week of your wedding, your Coordinator does a final review with all departments of Herrington on the Bay. We discuss everything from how many forks you need to which shape containers we’ll display your hors d’oeuvres in. The Coordinator will also contact your vendors to confirm they have the correct, date, location, timing and details that they need to succeed at Herrington on the Bay.
The Coordinator will also complete over 10 different forms and checklists that we use internally to make sure we don’t miss a thing. The Coordinator “coordinates” between your vendors, our Chefs, the event staff, and the bartenders to make sure that everyone has all of the information and direction they need to seamlessly run your event.
What happens the day of your event?
These team members made our day memorable and we couldn’t have done it without them! Our day was filled with the most amazing people, and it was all because of Herrington on the Bay.
